PickleGenes

Privacy Policy

Privacy information for the PickleGenes mobile app for iOS and Android (com.picklegenes.app), published by PickleGenes LLC.

Last updated: October 3, 2026

1. ACCOUNT, PLAY AND CONTENT

PickleGenes uses information you provide for your account and profile, such as your name, email address, phone number, sign-in information, date of birth, gender, profile image and location details. The information requested depends on the flow you use.

Play information includes clubs, bookings, events, teams, partners, match results and play history. GeneLevel and standings use play information to present ratings and competition records.

Community features receive the posts, comments, messages, polls and images you submit. Group messaging uses account-related identifiers, including a phone-number field, to associate content with its sender.

The document-upload form sends the government-issued document image and certificate you provide to PickleGenes for review. These files may contain sensitive personal information.

2. LOCATION AND DEVICE PERMISSIONS

With location permission, the app can use device coordinates to find nearby courts, games and activities. It also uses places you enter and location details saved with profiles or venues.

The app can request camera and photo access for relevant features, and notifications for activity updates. Notifications and crash monitoring are initialized during app startup; permission requests are not limited to opening a particular feature.

You can manage device permissions in your phone settings. Changing permissions affects features that rely on them. The app also provides notification preferences.

3. RECIPIENTS AND VISIBILITY

Public profiles, posts, play records and event participation can be visible to other users. Group and conversation content is displayed to participants; this notice does not describe messages as end-to-end encrypted.

Club and event management tools provide participant information according to the role and feature. Authorized club owners or administrators can receive names, profile images, email addresses and league participation counts through player-management features.

Integrated services include Google Firebase for notifications, crash reports and usage analytics; Google Maps, Places and Google Sign-In; Stripe for supported payments and club payout/onboarding flows; and Apple and Google platform services for supported in-app purchases.

When you ask PickleCoach a question, the text you submit is sent to Anthropic to generate a coaching reply. Avoid including sensitive personal information in a question.

The separate PickleGenes merchandise store uses Shopify. Purchases from that store are covered by its privacy policy. External websites and apps have their own practices.

4. PAYMENTS AND APP OPERATION

PickleGenes processes transaction and participation information to link supported payments to a booking or event. Supported Premium purchase validation can send a purchase receipt or token, product identifier and platform to PickleGenes. Payment providers and app stores also process information under their own policies.

Notification and diagnostic information can include installation or device-related identifiers, notification registration identifiers, crash information and app interactions. The app contains analytics events for sign-up, sign-in and published games.

5. ACCOUNT DELETION AND RETENTION

While signed in, open Settings → Delete Account to request deletion. Your account and personal data are deleted within 30 days of your request; you stay signed in until then and we email you when deletion is complete. A pending request is not confirmation of completed deletion.

After submitting a request, save a private status receipt before signing out. Once saving is confirmed, Saved deletion status on the request page or sign-in screen lets you check that request without signing in. The receipt grants a status check, not account access.

Replacing a receipt invalidates the previous one. If saving is not confirmed, stay signed in and save a replacement while your account remains available. Losing the receipt or clearing app data can remove this way of checking status after deletion.

Request and execution records can remain after profile removal. We complete deletion within 30 days of your request. Request and execution records, and payment records the law requires us to keep, can remain after profile removal. Contact support@picklegenes.store about retained information or a deletion request.

6. CONTACT AND YOUR CHOICES

You can edit profile information through the profile-editing feature and manage device permissions through your phone settings.

Contact support@picklegenes.store to ask about your information, request a copy or correction, or request deletion from outside the app. Settings → Help & Support can open your email app. Review and send the message there; opening the email app does not send it or confirm receipt by support.

PickleGenes is intended for players aged 13 and over. If you have a concern about a child’s account or information, contact support@picklegenes.store.

7. LOCAL STORAGE AND CONNECTIONS

The app stores sign-in credentials in operating-system protected storage. New credential writes do not fall back to app preferences if protected storage fails. App preferences are also stored locally.

Private deletion-status receipts use separate protected storage so signing out does not remove them. Keep your device secure. The primary API is configured to use HTTPS.

8. CLUB OWNER VERIFICATION

This section applies only if you create or manage a club, venue or organization on PickleGenes and ask to make it public, claim a venue listing, show a verified badge or receive payments. Players are not asked for any of this.

What we collect. Details read from the barcode or QR code on your ID (your name, the issuing state or country, the expiry date and whether you are 18 or older; we keep your birth year, not your full date of birth, and we never keep your ID number itself, only a one-way keyed fingerprint used to detect the same ID being reused); a photo of the front of your ID and a selfie; the business and venue documents you choose to upload (for example articles of organization, an annual report, a business license, an EIN letter, a lease, a deed, a property tax bill, a utility bill, an insurance certificate or a signed letter), which can contain the names and addresses of other people such as landlords or co-owners; the Google place you select (we keep only Google's place ID; the name, address, phone and website you confirm become details you provided); verification codes sent to a business or work email address; the confirmation given by a person you name (for example the owner authorizing a manager: their name, title, email address, the time, IP address and device); and records of your consents. Please cover account numbers before you upload a document.

Why. To confirm that you are who you say you are, that you are connected to the business and the place you list, and that you control that place, so that nobody can impersonate a club or take players' money in its name. We rely on your consent and on our legitimate interest in preventing fraud.

Who reads your documents. A person on the PickleGenes verification team reviews every application and makes every decision; we never approve or reject automatically and we do not use face recognition — your selfie is compared with your ID photo by a person. If you choose the optional automatic reading, your business and venue documents (never your ID or your selfie) are sent to Anthropic, our AI provider, to read names, addresses and dates. Anthropic processes them under its commercial terms, does not use them to train its models and deletes them within 30 days. Your documents are never shown to players, to other club owners or to the person you name for a confirmation.

Service providers. Our hosting provider (servers in the United States), Anthropic (optional automatic reading), Google (place details and push notifications through Firebase), Brevo (emails), Stripe (if you connect payouts; Stripe runs its own identity checks under its own policy) and ProPublica (for non-profit clubs we send only the EIN to check that it is registered).

Security. Documents are encrypted at rest with keys kept separately from the data, they are never placed in a public location, and every view by the verification team is logged. The team signs in with a password and a one-time code.

How long we keep it. Uploads for an application you do not finish: 30 days after your last activity. The photo of your ID and your selfie: deleted as soon as we decide. Other documents: 90 days after the decision, unless an open fraud investigation or a legal obligation requires us to keep them longer. After that we keep only a minimal record (the decision, its date and the names and addresses that matched) for as long as the club exists plus 5 years, together with consent and confirmation records. Reuse fingerprints are kept for 3 years. Copies of our database in backups are overwritten within 12 months.

Your choices. You can withdraw an application and delete your verification data at any time in the app (Go live → Status → Withdraw and delete). You can ask for a copy, a correction or deletion by writing to support@picklegenes.store. Deleting your account also deletes your verification data; a club that is already verified must first be transferred or closed. Verification is only for people aged 18 or over; if an ID shows that you are younger, we delete it immediately.

Vietnam and the Philippines. Your verification data is stored and processed in the United States. To exercise your rights, or to reach our data protection contact, write to support@picklegenes.store with the subject "Data protection".
